Museum Loan Tracking Stamps for Collection Custody
A collection loan is not one handoff. An object can move from storage to conservation, photography, packing, a courier, a borrowing venue, exhibition, deinstallation, return transit, quarantine, and reshelving. One “LOANED” impression cannot explain where the object is or which condition report applies.
A responsible stamp system belongs on routing covers, crate records, and approved documentation—not directly on collection objects or vulnerable surfaces. It should supplement the collection management system and the signed loan agreement, not replace either.
Use stable references rather than relying on an object title alone. A loan cover block may include:
- accession or object identifier;
- loan reference;
- lender and borrower organization codes;
- agreement version;
- object count;
- responsible registrar;
- current custody location.
If several objects share a loan, each object should still have an item-level record. “3 objects received” is not enough when one crate contains two items and another contains one.

Condition can change during packing, transit, installation, display, or return. Each examination should identify the object, report version, examiner, date, location, image set, and comparison baseline.
Use narrow states such as:
- OUTGOING CONDITION RECORDED;
- PACKING CONDITION CHECKED;
- ARRIVAL CONDITION RECORDED;
- VARIANCE FOUND — SEE REPORT;
- POST-DISPLAY CONDITION RECORDED;
- RETURN CONDITION ACCEPTED BY AUTHORIZED ROLE.
A stamp should point to the report. It should never cover photographs, signatures, measurements, or descriptive notes.
A transfer block should show who released the object, who accepted it, the date and time, location, transport or crate reference, seal status when used, and any variance.

“SHIPPED” proves departure, not delivery. “RECEIVED” proves a handoff, not agreement that condition is unchanged.
The outgoing manifest records crate CR-18 with seal 004921. At the borrowing venue, the receiver sees seal 004927. Staff should not overwrite the manifest or use a generic “received in good order” mark.
The arrival cover can state:

After the authorized process documents and resolves the variance:

The history preserves both observation and resolution. It does not speculate about cause.
An object may be fit for transport but not for the proposed display support, light level, environmental condition, or security arrangement. Those decisions belong to the relevant specialists.
Possible routing states include:
- PACKING PLAN REVIEWED;
- CONSERVATION HOLD;
- COURIER REQUIREMENT OPEN;
- DISPLAY METHOD REVIEW PENDING;
- VENUE CONDITION EVIDENCE RECEIVED;
- AUTHORIZED FOR INSTALLATION;
- DISPLAY LOCATION RECORDED.
The mark names the review; the underlying agreement, facility report, conservation record, or approval supplies the detail.
Loan records may contain valuations, security arrangements, personal contact data, insurance details, or sensitive locations. Use document-class and distribution marks that direct staff without repeating protected information.
For example:
- REGISTRAR WORKING COPY;
- COURIER COPY;
- RESTRICTED APPENDIX — CONTROLLED ACCESS;
- SUPERSEDED — RETAIN WITH LOAN HISTORY;
- PUBLIC LABEL COPY — NO RESTRICTED DATA.

Return delivery is not necessarily loan closure. Damage assessment, insurance communication, conservation action, packing-material return, fee reconciliation, and lender acknowledgment may remain open.
A closeout sequence can distinguish:

- LENDER RECEIPT CONFIRMED.
- RETURN CONDITION RECORDED.
- VARIANCE / DAMAGE REVIEW OPEN.
- CONSERVATION ACTION RECORDED.
- DOCUMENT SET COMPLETE.
- LOAN CLOSED BY AUTHORIZED REGISTRAR.
Design the labels in the with room for the object, loan, crate, report version, and initials. Never let a bold color become the only signal; scans and copies may be monochrome.
Choose one returned loan and reconstruct its physical history. Confirm that each movement has a releasing and receiving role, each condition statement points to a dated report, each exception stays visible until resolved, and the final location is recorded.
The test is simple: a reviewer unfamiliar with the exhibition should be able to locate the object and identify the governing report without asking who remembers the move. That is the practical meaning of collection custody.
