A courier exception mark should explain why a parcel left the normal delivery path and who owns the next action. It should not turn a handwritten or stamped note into proof that a delivery occurred.

That boundary keeps the design useful. The mark records an operational event—an attempt, access problem, address question, refusal, damage observation, or return handoff—while the carrier’s tracking system and approved evidence process remain authoritative.

Map what happens when a driver cannot complete the expected stop:

  1. the parcel and stop reference are confirmed;
  2. the attempt time is recorded;
  3. an observable reason is selected;
  4. required evidence is linked;
  5. the parcel moves to a defined custody location;
  6. the next owner and action are assigned;
  7. redelivery, pickup, correction, or return is recorded;
  8. the exception is closed in the tracking system.

The stamp belongs at the point where paper changes hands, such as a route sheet, depot exception card, or internal parcel tag. It should not repeat everything already stored in tracking.

StateNarrow meaningWhat it does not establish
ATTEMPT RECORDEDA stop attempt was loggedSuccessful delivery
ACCESS EXCEPTIONThe delivery point could not be accessed under procedureRecipient refusal
ADDRESS REVIEWAddress information needs an approved reviewAn invalid customer
DEPOT RECEIVEDDepot custody accepted the parcelReturn completion
REDELIVERY QUEUEDA new attempt entered the route processGuaranteed delivery time
RETURN ROUTE OPENReturn handling beganFinal receipt by the sender
EXCEPTION CLOSEDRequired operational steps were recordedLegal proof of service

Avoid broad marks such as DELIVERED, VERIFIED, or CUSTOMER NOT HOME unless the approved process defines the evidence and permits the wording.

A compact exception stamp can contain:

  • parcel or consignment reference;
  • route or stop reference;
  • attempt date and local time;
  • exception code;
  • driver or operator code;
  • evidence reference;
  • custody destination;
  • next action and owner.

Do not build recipient names, phone numbers, addresses, signatures, access codes, or identity details into a reusable device. The reference should connect authorized staff to the controlled record.

Use the to test the layout at actual size. The is a useful reference for a narrow custody state, while the allows more room for exception fields.

Example codeObservable conditionDefault next owner
ACCESS-01Approved access path unavailableRoute or depot support
ADDR-02Address data needs reviewAddress resolution
RECIP-03Required recipient condition not metCustomer support or depot
REFUSE-04Refusal recorded under procedureException review
DAMAGE-05Visible package condition requires reviewDamage handling
LABEL-06Label or reference cannot be read reliablyDepot operations
CAP-07Approved safe-location process not availableRoute support

Codes should not guess motives. For example, “recipient condition not met” is narrower than labeling someone absent, uncooperative, or unidentified.

An exception is incomplete if the parcel’s next physical location is unclear. Add a handoff line:

FieldSender recordsReceiver confirms
Parcel referenceScannable or written referenceReference match
QuantityNumber of itemsCount accepted
ConditionVisible condition codeVariance noted
Handoff timeLocal timeReceipt time
DestinationDepot zone or controlled queueQueue acceptance

If the receiver sees a mismatch, open a new variance entry rather than altering the driver’s earlier mark.

Photos, scans, signatures, geolocation, access notes, and customer communications may be sensitive and subject to policy. The paper mark should carry only the evidence reference needed by authorized staff.

Define:

  • which evidence types are permitted;
  • who may collect them;
  • where they are stored;
  • how long they are retained;
  • who may access them;
  • what the paper reference is allowed to reveal.

A stamp does not validate the evidence. It only points to the record staff must review.

A REDELIVERY mark needs more than a date. State who confirmed the new instruction, which queue owns it, and what happens if the next attempt also fails.

Keep three events separate:

  1. redelivery requested;
  2. redelivery authorized or scheduled under procedure;
  3. parcel assigned to a route.

This prevents a request from being mistaken for a confirmed route commitment.

Once the parcel is assigned again, the connects it to the current load, document version, and departure record. Carry the unresolved exception reference forward so the next driver receives the changed instruction.

If the wrong exception code is used, cancel it according to the approved method, add the correct state, and retain the earlier time and operator reference. Do not cover the old mark until no one can reconstruct the parcel journey.

For replacement labels, record the old and new parcel references and why the label changed. A label change should never silently break the evidence trail.

Test the system using:

  • an address mismatch;
  • a locked or restricted access point;
  • two similar parcel references;
  • visible damage found after the attempt;
  • a refusal handled under policy;
  • a parcel returned to a different depot zone;
  • a redelivery request made after route close.

Ask a dispatcher who did not handle the stop to identify the current parcel location, latest verified action, open exception, and next owner. If they need a phone call for routine interpretation, revise the stamp map.

  • Attempt and delivery states are distinct.
  • Codes describe observations rather than blame.
  • Parcel, route, evidence, and custody references are legible.
  • Sensitive recipient details stay out of reusable devices.
  • Depot acceptance completes the handoff.
  • Redelivery request, scheduling, and route assignment stay separate.
  • Corrections preserve the earlier path.
  • Tracking remains the authoritative status source.

An internal stamp should not be treated as standalone proof. Delivery evidence depends on the carrier’s approved process, records, service terms, and applicable requirements.

A preprinted signature is difficult to control. An operator code or initials field that connects to the authenticated record is usually easier to govern.

Yes, as a secondary visual cue. The reason code and wording must remain understandable on monochrome scans and damaged labels.

For exceptions that begin before the last mile or affect multi-package orders, the connects carrier events, customer notices, replacement decisions, claims, and closure.

The best courier exception stamp answers four questions quickly: what happened, where the parcel is, which evidence record applies, and who acts next. Narrow wording and a complete custody handoff make that signal useful without overstating what a paper mark proves.
