Court Filing Intake Stamps for Clerk Review Batches
A document can be delivered to a courthouse, uploaded to an electronic system, reviewed by a clerk, entered on a docket, rejected for correction, or restricted from public access. Those events are not interchangeable. An internal “FILED” stamp applied too early can create a false record of acceptance.
Court rules, local procedures, orders, and the official filing system control the legal result. A support stamp should document internal custody and workflow without imitating the court’s official file stamp, docket notice, or judicial order.
At the receiving point, record only the observable event:
- date and local time;
- channel, such as counter, mail, drop box, or electronic queue;
- case or submission reference;
- document count;
- receiving staff or batch identifier;
- fee or waiver routing state;
- next review queue.
Use RECEIVED FOR REVIEW rather than FILED when acceptance has not been established. An internal receipt should be visually distinct from any official court mark.
For U.S. federal filings, and notes that filing access is issued by individual courts. Local court rules and procedures remain essential.
A clerk-review batch may contain documents from several cases and channels. Give each item a submission ID before grouping it into the batch. The batch cover can show:

Never let the batch number replace the case or submission identifier on loose pages.
A clerk may review formatting, fee evidence, signatures, service certificates, attachment structure, or another rule-defined requirement. That review is not a decision on the merits.

- FEE / WAIVER CHECK PENDING;
- DEFICIENCY NOTICE PREPARATION;
- ROUTED FOR AUTHORIZED DETERMINATION;

- RETURNED PER PROCEDURE.
Avoid labels such as VALID, LEGALLY SUFFICIENT, GRANTED, or DENIED unless they reproduce an actual authorized action and point to the official record.

A motion packet arrives with an index that lists three exhibits, but only two attachments are present. The intake record might state:

If the missing exhibit later arrives, preserve the second event:

Do not change the original receipt time or mark the entire packet filed before the authorized system confirms the result.
When a court’s system produces a docket entry or Notice of Electronic Filing, store or reference that official evidence according to procedure. An internal stamp can show OFFICIAL NOTICE CAPTURED with the docket number, event reference, date, and record location.
A printed copy marked “UPLOADED” is not proof that the filing completed. Failed payment, wrong event selection, rejected PDF, interrupted transmission, or correction instructions may create a different result.
Court filings may require redaction or special handling. The U.S. Courts page reminds filers of responsibility for personal-identifier redaction in CM/ECF. Internal marks should route the document without copying protected details into prominent margins.

A rubber stamp must not create sealed status on its own. It should point to the controlling order, rule, or authorized decision.
If staff select the wrong queue, case, event, or batch, record the correction and preserve the original event. Use states such as MISROUTED, CORRECTION REQUESTED, SUPERSEDED COPY, and OFFICIAL CORRECTION RECORDED.
Once an official filing or notice exists, follow the court’s correction procedure. Do not cover the original stamp, alter a docket reference, or substitute a clean page that hides the mistake.
