School Admissions Stamps for Peak-Season Packet Control

During an admissions peak, one applicant’s materials may arrive through a portal, email, mail, testing service, prior school, and in-person counter. A generic “COMPLETE” stamp can hide missing records, duplicate profiles, unverified copies, or a decision that has not yet been made.

A school office needs an administrative state map. The marks should show what arrived, which checklist was used, who owns follow-up, and when the packet entered an authorized review. They should never imply admission, eligibility, or academic judgment before the responsible authority acts.

Each paper page and work item should resolve to one applicant or application record. The intake block may include:

  • application reference;
  • entry term or program;
  • received date and channel;
  • document type;
  • source;
  • page count;
  • duplicate-profile status;
  • receiving staff.

Use RECEIVED — NOT YET VERIFIED when appropriate. Arrival does not prove authenticity, completeness, eligibility, or a decision.

Admissions requirements can vary by program, grade, term, applicant type, or jurisdiction. Record the checklist code and version rather than engraving a universal list into the stamp.

“CHECKLIST COMPLETE” means the required items under that checklist are present. It does not mean the committee has accepted their content.

The covers records and enrollment requests after admission; keep those states separate from applicant review.

Name variations, household applications, twins, legacy records, and new portal profiles can create duplicates. Use states such as POSSIBLE DUPLICATE, DO NOT MERGE, IDENTITY REVIEW, and RECORDS MERGED BY AUTHORIZED ROLE.

Avoid writing unnecessary personal information in the stamp. A protected application reference can route staff to the secure record.

An application is filed under a current family name, while the transcript arrives under a prior name. Staff should not assume they belong together or create a second applicant.

Both states stay in the history. The first mark explains the delay; the second records who resolved it.

An incomplete packet needs a reason code, communication record, owner, and next review date.

Useful states include:

  • ITEM MISSING — code;
  • SOURCE DOCUMENT REQUESTED;
  • APPLICANT NOTICE SENT;
  • DEADLINE EXCEPTION REVIEW;
  • SUBSTITUTE EVIDENCE REVIEW;
  • RESPONSE RECEIVED;
  • FOLLOW-UP CLOSED.

Do not place sensitive reasons on an outer cover if a short code can point to the protected record.

Administrative staff can route a complete packet to review. They should not mark ADMITTED, DENIED, WAITLISTED, or CONDITIONAL unless they are recording an actual authorized decision.

A clean sequence is:

  1. ADMINISTRATIVE CHECK COMPLETE.
  2. READY FOR AUTHORIZED REVIEW.
  3. REVIEW ASSIGNED.
  4. DECISION RECORDED — reference.
  5. NOTICE GENERATED.
  6. NOTICE DELIVERY RECORDED.
  7. RESPONSE / DEPOSIT PENDING.
  8. ENROLLMENT HANDOFF COMPLETE.

A review stamp should never expose reviewer notes or confidential deliberations on a publicly visible cover.

Schools may receive original certificates, identity evidence, or records that need controlled custody or return. Record item description, source, received time, storage location, authorized access, copy or scan event, and return handoff.

The provides a deeper model for restricted file movement. An intake copy and an original should never share an ambiguous custody state.

Create the labels through the , with one fixed zone for application reference, checklist version, date, owner, and next queue. A can supply school identity, but it should not act as a decision mark.

Post a short state legend at each intake station. Train temporary staff on the boundaries between received, matched, complete, verified, reviewed, decided, and enrolled.

Replay a duplicate profile, name variance, late document, missing signature, original-custody case, program transfer, and corrected decision notice. Ask an independent reviewer to identify the current packet and next action.

If the answer depends on staff memory or an email search, the stamp state is too broad. Peak-season throughput improves when every exception remains owned and every decision is tied to its authorized record.
