Construction permit records become risky when the office, design team, contractor, inspector, and field crew each hold a different drawing set. A visible stamp can help identify submission cycles and document states, but its wording must be precise. APPROVED on an internal routing cover can easily be mistaken for approval by the authority having jurisdiction.

Use administrative marks to support the official permit process, never to reproduce an agency seal, professional credential, signature, or permit authorization.

A reliable cover block includes project number, permit or application number when assigned, discipline package, drawing index revision, issue date, submission cycle, sheet count, specification version, and transmittal reference. The purpose is to make a loose sheet traceable to the package that contained it.

For large sets, do not handwrite every sheet number. Reference the controlled drawing index and ensure its revision travels with the package.

RECEIVED BY PROJECT OFFICE records when the contractor, owner, or design administrator obtained a package. It does not prove an agency received or accepted it. If the authority provides an electronic confirmation or official receipt, store that evidence and reference its number separately.

This boundary is crucial when submission deadlines or fee dates are disputed. Internal chronology and official chronology must remain distinguishable.

A can be adapted for the project office's internal intake copy. Spell out the office and channel so the mark cannot be read as the permitting authority's official receipt.

An administrative completeness review can check application forms, owner information, signatures, fee evidence, drawing index, calculations, and attachments. It cannot determine code compliance. Use wording such as PACKAGE CHECK COMPLETE with a checklist reference and reviewer.

Technical comments, professional certifications, and agency determinations belong in their authorized channels. The stamp can show TECHNICAL RESPONSE REQUIRED and point to the comment set without claiming a result.

For a public-facing counter, the shows how to record receipt, cutoff eligibility, checklist completion, and technical routing as separate events.

Original submission, correction 1, correction 2, deferred submittal, addendum, and field revision are not interchangeable. Create a submission-cycle field that appears in large type and ties to a transmittal. Each replacement package should identify the cycle it supersedes.

Avoid labels like LATEST. They become false as soon as a new package is issued. A dated, numbered revision remains interpretable years later.

Version control becomes equally important when approved documents move among outside parties; the applies the same principle to transaction, signature, funding, recording, and delivery states.

A comment response package needs the authority comment-set reference, response-cycle number, design owner, due date, affected sheets, and resubmission transmittal. Mark comments as open, response drafted, internally checked, resubmitted, or agency-closed according to actual evidence.

Do not treat “response sent” as “comment accepted.” The authority’s disposition is a separate event.

Never stamp over a licensed professional’s seal, signature, date, certification statement, or security feature. Do not create lookalike marks or paste generated seals into permit drawings. Jurisdiction and professional-board rules determine how signed and sealed documents must be handled.

The are visual examples, not authorization for official use. Ordinary internal routing blocks should look deliberately administrative.

Field teams may need an issued-for-construction set, a permitted set, an approved shop drawing, or an internal coordination print. These are different purposes. The distribution block should show document state, revision, copy or location, issue date, recipient, and source-system reference.

Use REFERENCE ONLY or another controlled warning for prints that must not guide construction. Make the warning conspicuous on every relevant sheet, not only on a cover that can become detached.

A design change after permit issuance may require agency review, professional revision, owner approval, cost authorization, and field direction. A change-routing stamp can identify the request, affected permit set, work hold or continuation instruction reference, responsible designer, and regulatory disposition.

The mark must not authorize construction. It points to the formal direction issued through the project’s contractual and regulatory process.

Inspection request, scheduled inspection, field observation, official result, correction notice, and reinspection are separate states. A project-office stamp can reference the inspection type, request number, scheduled date, responsible superintendent, and official result location.

Never reproduce an inspector’s approval or agency mark. Store the actual report, card, portal result, or signed record and connect it to the drawing or work area reference.

When a new set becomes valid, recover or clearly mark superseded field and office copies. Record the old revision, replacement revision, retrieval date, location, and person completing the check. Archive historical copies according to record policy rather than quietly destroying required evidence.

If an obsolete set is found in active use, document the discovery and evaluate affected work through the project’s quality process.

Choose a reserved cover area or title-block margin that remains visible after folding. Test the impression on full-size and reduced prints, grayscale scans, and common site-copy paper. Keep it away from dimensions, notes, revision clouds, barcodes, and official markings.

Use the for an actual-size proof. The is helpful when the block needs project, set, and cycle fields.

Select recent permits with multiple correction cycles. Trace the original package, authority receipt, comments, responses, permitted record, field distribution, changes, inspections, and superseded-copy retrieval. The same identifiers and revision logic should remain visible at every handoff.

Useful measures include obsolete sets found at points of use, resubmissions missing a controlled index, field questions caused by revision ambiguity, and days between new issuance and old-copy retrieval.

Introduce four states: PROJECT OFFICE RECEIVED, PACKAGE CHECK COMPLETE, RESUBMISSION CYCLE, and FIELD COPY SUPERSEDED. Run the marks alongside the document-management system and compare them weekly.

After the permit passes through a real correction cycle, refine the fields and publish a legend. Expand only where the same definitions apply across projects and jurisdictions.
